Bursting turns one report into a personalised copy for every value of a field. You design the report once, choose a cycle field, and KPImailer produces a filtered email and attachments for each value: every region, store, customer or cost centre.
How it works
- Open the Cycle panel of a report and switch on Burst by a field.
- Pick the cycle field, for example
Region. - Choose All values or Selected values.
- KPImailer counts how many values have data within the report’s filters and shows how many emails a run will send.
Every copy uses the same layout, attachments and schedule, filtered to its own value. Subjects, file names and text can include the current value with tokens, so the Cluj copy arrives as Weekly sales · Cluj with Weekly_sales_Cluj.xlsx attached.
The right person gets the right copy
Bursting pairs with dynamic recipients. Instead of typing addresses, point the recipient list at a field that holds the owner’s email. When the data changes, the distribution list changes with it.
Only values with data
A run only sends copies for values that actually have data within the report’s filters. A new store with no sales yet does not get an empty email, and nobody has to maintain an exclusion list.
On Power BI
KPImailer for Power BI bursts on a column of your model, with a {{burst.value}} token for subjects and file names, a Count values check before you switch it on, and an optional recipient column.
