The right report distribution tool is the one that gets correct, personalised numbers to people who do not open dashboards, with the least infrastructure and licensing overhead. These nine questions help you compare options such as Qlik NPrinting, Qlik Reporting Service, native Power BI subscriptions and KPImailer.
1. Which platforms must it support?
Client-managed Qlik Sense, Qlik Cloud, Power BI, or a mix? Some tools cover only one environment. If you are moving to Qlik Cloud, check that the tool will follow you.
2. Do recipients need a BI licence?
For large audiences such as store managers or partners, licences on the receiving side can cost more than the tool. Prefer tools that send finished emails and files.
3. Can each person get only their own data?
Look for bursting per field, recipients taken from your data, and skipping of values with no data.
4. What does the email look like?
If most readers only read the email, the body matters more than the attachment. Can you design it with live charts, KPIs and text, or is it a cover note?
5. Are the files ones people actually use?
Excel with the analyst’s own pivots and formulas, PowerPoint decks for meetings, paginated PDF for print. Check whether templates are built in real Office.
6. When does it send?
Fixed schedules are not enough when reloads vary. Look for triggers on data reload, chaining, and handling of missed runs.
7. Can it stay quiet?
Exception reports should only go out when a threshold is crossed. Look for measure-based send rules and conditional sections.
8. Where does it run, and where do files go?
Self-hosted or cloud? Can files land in SharePoint, OneDrive, shares or a database? Who can see recipient data?
9. How is it priced?
Per recipient, per report or per server? Per-recipient pricing punishes success. Ask what happens when your audience doubles.
